How do you export data from Looker Studio?

Looker Studio is an excellent dashboarding tool that lets you quickly and easily share meaningful insight with collaborators. But sometimes, you only want to share a specific chart, not the entire report.

You'll learn here how to extract data from a single chart in a Looker Studio report. It comes in multiple formats, making it easier to use in Google Sheets or Microsoft Excel.

How do you export data from a specific chat in Looker Studio?

For almost any chart, hover at the top right corner, select the three dots, and click Export.

Change the name of the future export if necessary.

Select between the three format options:

  • CSV -> a simple export to a comma-separated value file.
  • CSV (Excel) -> same file as the previous option but optimized for Microsoft Excel.
  • Google Sheet -> Create and open a new Google Sheet file in your browser. This a great solution to quickly share charts. It will create a Google Drive file that anyone can access when sharing. This option is only recommended if you have a little data to import. Use the simple CSV export instead and import this file in Google Sheets.

Check the "Keep value formatting" if you want any modifications made to the table formatting. Otherwise, it will be the raw data.

Click Export!

If you cannot see the three dots, contact the owner or one of the report editors. They can turn off sharing and downloading information for a report.

Know limite when you export data:

  • Images won't be export as images but as URLs. You can use the IMAGE function on Google Sheets and Microsoft Excel to render an image from a URL.
  • Exports are limited to 750,000 rows. If you go above this, you will need to filter your data to reduce the number of rows exported.
  • If your Google Sheets export does not load, try to export in CSV format and import manually to Google Sheets. Looker Studio can struggle to export thousand off rows for tens of column.

Tips for report editor:

How to turn off the export features:

  • Click on the share button at the top right corner.
  • In the pop-up, click the settings icon at the top right.
  • Check the "Disable downloading, printing, and copying for viewers."
  • Go back to the share options and click save.

By activating this option, you prevent viewers from downloading, printing, or copying the report with their own data sources. You also prevent them from exporting data charts by charts.

By default, the three dots are only available on hover the charts. You can always make them visible in a given chart's Style menu.

  • Select a chart.
  • Click on Style.
  • Go down the column to the Chart Header section.
  • Select "Always Visible" in the selector.

You can even change the button color to contrast with your report.
